Our club values your safety and privacy. To help you understand how using our web site and participating in our community impacts your

privacy, we have prepared a summary of the various ways your privacy is impacted by our web site. In general our guidelines around your personal information are:

  1. Information identifying you is not shared with any 3rd party, except for:
    • Optimal Payments, our banking partner, and then strictly only for the purpose of online purchasing.
    • Constant Contact, our email list and marketing tool, and then only your full name and email address. This tool is used solely for club communication to club members and other interested skaters. Our email lists are not shared with any third party.
  2. You always have access to your personal information to modify or view as required.
  3. You can at any time withdraw your participation from the club, opt out of mailing lists, and explicitly ask that your personal information be removed completely.
  4. You can at any time ask for further clarification of our privacy policy by contacting us at webmaster@inlineottawa.com.
  5. Club executive board members, are entrusted with the managing our club and its information. As such, our executive has access to your personal member information. Board members will use this information only for the explicit purpose of managing the club.

What we Collect

By using our web site the following information is collected either explicitly or implicitly:

  • Information that identifies you such as; your name, phone number, emergency contact information, email address, home address and notes on your personal medical condition(s).
  • Information that tracks your training, mileage skated or performance in time trials, races, marathons or other club organized sporting events.
  • Information that identifies your computer, or ties your computer to access made to our website. Referring URLs, cookies and your IP address are all implicitly collected.

How we use your information

We use the collected information in various ways:

  • Information identifying you is stored in a password protected database, accessible only by authorized personal (i.e. Club executive board members). Other club members do not have access to your personal information. This information is not shared with any 3rd party except, as noted above, with Optimal Payments and Constant Contact.
  • Information that tracks your training and other performance related data is used only within the club and is not shared with other club members, or with any 3rd party, except that mileage club summary reports, trial results and club organized race results are publicly visible.
  • Information that identifies your computer may be stored in our web site activity logs or in our database. We reserve the right to store this information for as long as it is needed for the proper functioning of our web site, for record keeping, or for legal reasons.
  • If you are an active member of our club we do require an online profile, even if you registered with our cub by paper, an online profile will be created on your behalf. Unless you explicitly ask us to remove your personal information, or explicitly opt out of our email lists, your information will be retained even after your current registration lapses. Our club periodically invites previous members to return and their previous member profiles are used for this purpose.

Security

We take appropriate measures to ensure your personal information is protected:

  • Member information is stored in a password protected database, and accessed only by authorized personnel (members of the club executive).
  • All online purchases are conducted through a Secure Socket Layer (SSL) certified secure web server. In addition, all transmission of information between our web server and Optimal Payments (our banking partner) is done via SSL communication.
  • Credit card information is not stored on our web site. We retain credit card information only so long as is needed to complete a purchase, at the time of purchase.

Some parts of our web site such as the Discussion Group are open text areas where users may submit comments or files. While we make every effort to moderate the Discussion Group and ensure a safe and appropriate environment for our community of skaters, we can not necessarily review each and every posting, for fairness, medical fitness or any thing else that could potentially be unsafe or insecure. Users of our site are responsible for not disclosing sensitive information in our Discussion Groups, or in emails to other members of our skate club.

You may choose to limit the information collected by not filling in entirely the user registration forms, disabling cookie support, using services that allow nonymous web browsing, or using fake email accounts. However, if you undertake any of these actions we reserve the right to refuse to offer you support or refunds on any of our services, either online or real-world, should something go wrong because your member information is incorrect, or inaccessible.

In addition, member profiles are used to maintain a record of acceptance of our insurance waiver and emergency contact information (for safety). We reserve the right to refuse service either electronic or skate related training in any of our club programming, if a club member's profile is found to be misleading, incomplete or fraudulent.

Advertising

Our web site includes pictures of and links to sponsor web sites. However these links do not include any usage or tracking information that could be shared with 3rd party advertisers.
